PandaRoaming (“we”, “us”, “our”) is operated by BEIJING YEYUAN INTERNATIONAL TRAVEL SERVICE CO., LTD
By booking any tour, travel package, transportation service, or customized itinerary through PandaRoaming, travelers agree to the following booking, cancellation, refund, insurance, and travel terms.

This China Tour Cancellation Policy applies to our private tours, scheduled tours, customized itineraries, transportation services, and travel arrangements across China.

1. Booking & Payment Policy

Scheduled Tours

  • A 30% deposit is required to confirm your booking.
  • The remaining balance is payable before or upon arrival, prior to the start of the tour.

Customized & Private Tours

  • A 50% deposit is required after itinerary confirmation.
  • The remaining balance is payable before or upon arrival, prior to the start of the tour.

Failure to complete the remaining payment before the tour starts may result in cancellation of the booking or refusal of service.

2. Cancellation & Refund Policy

All cancellation requests must be submitted in writing by email to:

Refund eligibility is calculated based on the date we receive your written cancellation request.

3. Non-Refundable Costs

Certain services and fees may be non-refundable once confirmed, issued, or paid to third-party suppliers, including but not limited to:

  • Visa application fees
  • Tibet Travel Permit processing fees
  • Flight tickets
  • Train tickets
  • Hotel reservations
  • Peak season bookings
  • Third-party supplier charges

Any unrecoverable expenses already paid to suppliers may be deducted from the final refund amount.

4. Changes or Cancellation by PandaRoaming

In rare circumstances, PandaRoaming may need to modify or cancel part or all of a tour due to operational, safety, governmental, environmental, or force majeure reasons.

If a tour is canceled by us before departure, travelers may choose:

  • A full refund; or
  • An alternative itinerary or rescheduled departure date, subject to availability.

PandaRoaming is not responsible for additional personal expenses such as international flights, visa fees, insurance costs, or other independently booked services.

5. Force Majeure

PandaRoaming is not responsible for cancellations, delays, losses, injuries, or additional expenses caused by circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters
  • Extreme weather
  • Earthquakes
  • Floods
  • Government restrictions
  • Public health emergencies
  • Political events
  • Transportation disruptions
  • Flight cancellations
  • Tibet travel policy changes
  • Border restrictions

In such situations, we will make reasonable efforts to assist travelers in adjusting their itineraries whenever possible.

6. Health & Safety

Travelers are responsible for ensuring that they are physically and medically fit for the trip they choose.

Certain destinations in China, including Tibet, Western Sichuan, Xinjiang, and other high-altitude or remote regions, may involve health and safety risks such as altitude sickness, fatigue, weather changes, long road journeys, hiking conditions, or limited medical facilities.

PandaRoaming is not responsible for medical conditions, illnesses, injuries, or incidents arising from circumstances beyond our reasonable control, except where directly caused by proven negligence on our part.

We strongly recommend that all travelers purchase comprehensive personal travel insurance before departure.

7. Insurance Coverage Explained

There are different types of insurance commonly involved in China travel. It is important for travelers to understand the difference between travel agency liability insurance, travel accident insurance, and personal travel insurance.

Travel Agency Liability Insurance

PandaRoaming is covered by AXA Travel Agency Liability Insurance. This insurance applies to liabilities arising directly from the operation of our travel services, such as service-related responsibilities or proven negligence by the travel agency.

This coverage does not replace personal travel insurance and does not generally cover personal medical conditions, trip cancellation by the traveler, lost belongings, flight disruptions, or risks unrelated to travel agency responsibility.

Travel Accident Insurance

Some tours may include basic travel accident insurance depending on the itinerary, destination, or package type. If included, this will be clearly stated in the specific tour quotation or booking confirmation.

Travel accident insurance may provide limited coverage for certain accidents during the trip, but it is not the same as comprehensive personal travel insurance.

Personal Travel Insurance

Personal travel insurance is purchased independently by the traveler and is strongly recommended for all trips. It may cover medical treatment, emergency evacuation, trip cancellation, flight delays, lost luggage, personal belongings, and activities such as hiking, horse riding, cycling, or high-altitude travel, depending on the policy selected.

Travelers should carefully review their own insurance policy to ensure it covers their destination, activity level, altitude, medical needs, and travel dates.

For emergencies, insurance claims, or travel incidents, travelers may contact the relevant insurance provider directly or contact our support team for assistance.

8. Transportation & Third-Party Services

PandaRoaming is not responsible for delays, cancellations, schedule changes, overbooking, or service interruptions caused by airlines, railway operators, hotels, attractions, restaurants, local activity providers, or other third-party service providers.

All third-party services are subject to the terms and conditions of the respective providers.

9. Visa, Tibet Permit & Entry Responsibility

Travelers are responsible for ensuring:

  • Passport validity
  • Visa eligibility
  • Compliance with Chinese immigration regulations
  • Accuracy of personal travel documents
  • Eligibility for Tibet Travel Permit applications when applicable

PandaRoaming may provide visa guidance or Tibet Travel Permit assistance, but final approval is determined by the relevant authorities.

10. Traveler Conduct

Travelers are required to comply with the laws and regulations of the People’s Republic of China throughout the trip.

Illegal activities, dangerous behavior, political activities, damage to cultural heritage sites, disrespectful behavior toward local communities, or actions that negatively affect the safety or experience of the group may result in immediate termination of services without refund.

11. Minors

Travelers under the age of 18 must be accompanied by a parent or legal guardian during the entire trip.

We do not accept unaccompanied minors.

12. Refund Processing Time

Approved refunds are generally processed within 7–14 business days, depending on the payment provider, banking institution, currency exchange process, and international transaction processing times.

13. Governing Law

These terms shall be governed by and interpreted in accordance with the laws and regulations of the People’s Republic of China.

Any disputes arising from the use of our services shall first be resolved through friendly negotiation.
